(‘We/Us’
refers to Denaploy
Ltd. ‘You’ refers to user of this service. ‘Sub-Contractor’ means users with
the purpose of uploading O&M documentation for projects which they are
involved with. ‘Main Contractors’ means users who have contracted Denaploy
Ltd to produce one or more O&M manual projects.)
When
you use services at DenaployManuals.co.uk or any of its white label sites
(personalised domains for groups of projects), you trust us with your
information. This Privacy Policy is meant to help you understand what data we
collect, why we collect it and what we do with it.
Information we collect
Our
primary reason for collecting information about you is for the creation of an
O&M manual compiled on behalf of a Main Contractor. This information is
required by law when a building project is handed over, and therefore certain
personal information will be recorded within the documentation.
This
includes the following personal information:

company doing the work

Business Address (or
personal if self-employed)

Phone numbers
·
Email addresses

Type of work
performed

Files you upload
Additional
information is obtained to help us improve our service and to assist you should
you require it. This can include information such as IP address logging for
security purposes, 3rd
party tracking cookies to allow us to get a better understanding of our users
or to assist individuals. These include service providers such as Google
Analytics, Google Ads and LuckyOrange.
You can opt out of this by disabling ‘3rd party’ cookies within your browser
(however make sure you do not disable cookies altogether, as Denaploy
Manuals along with the majority of sites on the internet will not function as
expected).
Sharing with 3rd Parties
Denaploy
Ltd does not share any personal information with third parties outside of the ‘Denaploy
Group of Companies’; except for information specifically supplied for the
creation of an Operation and Maintenance manual.
Anonymous
information is captured by Google Analytics so that we can monitor site
statistics and user behaviour as an overview.
Anonymous
information is captured by Tawk.to which runs our online chat facility. This
information includes your IP address and country, but if you start a chat we will ask for your
email address, name or phone number so that we can associate yourself with your
query.
Anonymous
information is captured by LuckyOrange,
which enables us to get a detailed view of individual activity for the use of
assisting clients, and for the improvement of our service. All data is strictly
removed after a rolling 30-day period.
Communications you may receive
We
may contact you by email, telephone or in writing in the event there is a
problem with the information you have supplied, or in response to a query you
have raised.
Legitimate
Interest
Occasionally
we would like to contact you with latest information about our services
relevant to you. As a legitimate interest, such contact will be limited to our
active users. ‘Active Users’ are classed as users of the site which we have had
correspondence with within the previous 48 months or have engaged with any of
our services. You can opt-out of these communications by following any
unsubscribe information stated within the footer of the communication. If there
is no unsubscribe option, then we are contacting you regarding your account or
project.
Cookies we use

these are temporary cookies and are only stored until you leave the website or
when you close your web browser

these last for a fixed period of time,
defined within the cookie, and allow the website to recognise the device again
when the user returns to that website on that device. These are used to
remember certain user preferences.

we work with third parties who, on our behalf, research the use of our website
and activities on it. In doing so 3rd
party cookies will be place on your device; however, it would not contain any
personal information that others could read and understand. We also work with
third parties to evaluate the effectiveness of our advertising and promotions
on third party websites. Again, the cookie would not contain any personal
information that others could read and understand.
