Overview
Denaploy was appointed by Kier Construction to deliver a state-of-the-art O&M manual for the construction of Thames Lodge, an 80-bed hospital unit that completed the Three Bridges Medium Secure Campus at St Bernard’s Hospital. The project was carried out over an 18-month period during 2014-2015 and involved specialist fittings, advanced security interfaces, and equipment provided directly by the hospital.

Following the success of the Thames Lodge O&M manual, Denaploy was re-engaged in 2018 to produce a second manual for the refurbishment of Medway Lodge, located adjacent to the Three Bridges Campus.

Key Features of the Project

  1. Comprehensive Documentation:
    Denaploy consolidated materials from dozens of subcontractors to produce a single, cohesive manual. The digital O&M manual integrates 3,771 documents organised into 300 folders, totalling 6GB of data. A paper version comprising 16 large lever-arch files was also produced, although most users prefer the more accessible digital format.

  2. Innovative Navigation:
    The manuals feature a consistent navigation structure, ensuring ease of use for facilities management (FM) teams. Additionally, the Rapid Intelligent Document Retrieval (RIDR) System developed by Denaploy allows FM teams to access all documentation across projects through a single browser search interface. This provides instant and intuitive access to essential information.

  3. Future-Ready Integration:
    The digital manual was designed to be stored on the hospital’s main network, ensuring accessibility for all relevant personnel. The common interface established by Denaploy enables seamless integration with subsequent projects, including the refurbishment of Medway Lodge.

Challenges and Solutions

  • Complexity of Documentation: With inputs from numerous subcontractors and hospital-provided equipment, the project required meticulous organisation and quality control. Denaploy’s robust systems ensured consistency across all documentation.

  • User-Friendly Access: By developing the RiDR System and providing a digital manual, Denaploy met the needs of modern FM teams, who require fast and efficient access to information.

Results The Thames Lodge O&M manual was delivered successfully, receiving positive feedback from Kier Construction and the hospital’s facilities management team. The manual’s usability and organisation ensured the smooth operation and maintenance of the new unit. Due to this success, Denaploy was trusted to deliver a second manual for the refurbishment of Medway Lodge in 2018, further demonstrating the value of our services.
